11.02.09 Ex Comm Meeting Minutes

By Laws Changes
The vote on the proposed change to the by laws at the last general meeting was invalid because the vote had not been announced 1 month in advance in the neighborhood newsletter as stipulated in the CNA by laws. The vote will be held again in January. In addition, we will possibly be voting on staggered terms for ex comm officers, and a reduced frequency in association meetings (to be discussed during the December meeting). Kat will announce the vote in December's newsletter and will refer to the website for details. Don will post the details on the vote to the web site when they become known.

December General Meeting
The December general meeting will be cancelled. Neighbors will be invited to attend the ex comm meeting on the 7th instead, if they so desire. The agenda for the meeting will be to formalizing of the language of the by laws changes to be voted on in January, and finalizing the newsletter advertising policy. Eddie needs to contact the church to see if Wozniak Hall is available for meeting on the 7th. Kat will announce the change to the meeting in the December newsletter.

Membership Drive
There will be a colored insert in the March newsletter describing what the neighborhood association does and encouraging neighbors to join or renew their memberships. An item on the January or February ex comm meeting agenda will be the establishment of the content for the newsletter insert. Tonia will begin mailing out renewal letters this week.

Violet Crown Festival
The following people have committed to the following for the Violet Crown Festival on Nov. 14th:
Kat - Will provide a table, membership forms, newsletter
Don - Will help the festival set up and staff the CNA table from 10-11
Eddie and Tonia - Will staff the table from 11-1
Heidi - Will staff the table from 1-4
Kat - Will staff the table from 2:30-4
Deanna - Will provide a poster with pictures of neighborhood activities

People with pictures of neighborhood activities (tree plantings, ice cream social, etc.) need to send them to Deanna for the poster board. Eddie needs to send the Violet Crown folks the $250 contribution that the CNA agreed to. NOTE: The need for volunteers to set up and break down and a contact phone number should be announced at the November general meeting.


Advertisement Policy
What does the CNA do if it receives a complaint from a neighbor regarding a business that advertises in the newsletter? We will begin printing a disclaimer in the newsletter that states that all advertisements are paid for and that the CNA does not endorse any of the businesses. We will also state (either in the newsletter or on the FAQ page) that the CNA reserves the right to refuse advertisement to any business for any reason. This allows the CNA to restrict advertising to local, family-friendly businesses, and to revoke advertisement for businesses that have been proven (by the police) to have committed crimes against their customers. Kat will propose language for the disclaimers and advertisement policy at the next ex comm meeting for the committee to debate. The rest of the committee should consider whether or not advertising by churches should be allowed in the newsletter and be prepared to decide this at the next meeting.
